Waterloo-Wellington Round Table
Privacy
Policy
Our commitment
The Round Table is committed to protecting the privacy of
the personal information of its members and other stakeholders. The
Round Table values the trust of those we deal with, and of the public, and
recognizes that maintaining this trust requires that we be transparent and
accountable in how we treat the information that you choose to share with
us.
During the course of our various projects and activities,
the Round Table frequently gathers and uses personal information. Anyone
from whom we collect such information should expect that it will be
carefully protected and that any use of or other dealing with this
information is subject to consent. The Round Table's privacy practices
are designed to achieve this.
Defining personal information
Personal information is any information that can be used to
distinguish, identify or contact a specific individual. This information
can include an individual's opinions or beliefs, as well as facts about,
or related to, the individual. Exceptions: business contact information
and certain publicly available information, such as names, addresses and
telephone numbers as published in telephone directories, are not
considered personal information.
Where an individual uses his or her home contact
information as business contact information as well, the Round Table
considers that the contact information provided is business contact
information, and is not therefore subject to protection as personal
information.
Privacy practices
Personal information gathered by the Round Table is kept in
confidence. Round Table personnel are authorized to access personal
information based only on their need to deal with the information for the
reason(s) for which it was obtained. Safeguards are in place to ensure
that the information is not disclosed or shared more widely than is
necessary to achieve the purpose for which it was gathered. We also take
measures to ensure the integrity of this information is maintained and to
prevent its being lost or destroyed.
We collect, use and disclose personal information only for
purposes that a reasonable person would consider appropriate in light of
the circumstances.
Membership List
The Round Table, from time to time, publishes a membership
list and disseminates it to the Canadian Association of Gift Planners
National Office (CAGP National), and/or to other Round Table members. The
membership list is not supplied to third parties.
This information is gathered at the time of application or
renewal of annual membership. Should a member wish not to have any or all
of this type of information published, other than as required by CAGP
National, they can opt to have such information withheld from the
membership list by contacting the Round Table as instructed on the
membership application or renewal form.
Member
information is for the exclusive use of individual members. Member
information shall not be used for spamming, unsolicited mail,
telemarketing or to be sold to any organization or company or used for any
other commercial use. The use of this information in any of the above
ways will be brought to the attention of the Ethics Committee of CAGP
National, and may result in termination of membership.
Website
By visiting the Round Table’s website at
www.cagpww.com, you are accepting the practices
described in this policy.
Two types of information are collected at our website:
1.
Personal, or 'individually identifiable', information you
provide to us; and
2.
Standard Web server/visitor traffic information, commonly
referred to as "aggregate information," regarding overall Web site traffic
patterns. We do not report on individual user sessions. Web servers
normally collect this type of basic information as part of their web log
processes.
Currently, the only instance when the Round Table receives
individually identifiable information from its users is when we receive an
email. We do not use cookies. All information is stored in a secure
location accessible only by authorized Round Table personnel.
In addition to information provided by our visitors, we use
the normal internet tracking tools associated with standard internet
protocols and web-based systems. This system information is typically
stored in log files and the information is used for aggregate reporting.
Aggregate reporting includes total number of visitors, most visited
sections, peak traffic times, etc. Log files are simply transaction
records web servers maintain. Those logs are used for recording
information, such as:
-
service provider IP addresses
-
browser versions
-
referring Web sites
-
search terms used
-
average number of pages requested
-
average duration of visit
-
total visitor traffic.
We use aggregate information gathered from your visit to
better design our Web site. This information supplies us with a broad
picture of how people use our Web site in order to help us better serve
our audience.
This Privacy Policy applies only to the Round Table. The
Round Table is not responsible for the privacy practices of other websites
to which it has links. We encourage you to read the privacy statements of
each and every website that requests personal information from you.
Updating of privacy policy
The Round Table may, from time to time, review and revise
its privacy practices. The most current version of this policy will be
made available on the Round Table’s website.
